How Acorn handles personal information.

Acorn CCMS is childcare management software for centre operations. This policy explains the information handled by the hosted Acorn service and the native iOS app.

Information we collect

Acorn CCMS stores account, organisation, centre, staff, guardian, child, attendance, incident, medical, document, program, billing, subscription and support information entered by authorised users. The iOS app may access the microphone when a user chooses voice assistant features, and selected photos when a user uploads a profile image.

How we use information

We use information to provide authenticated centre workflows, maintain child and staff records, support attendance and care tracking, operate hosted accounts, provide support, protect security, diagnose service issues, and meet legal or operational obligations.

Sharing and processors

We do not sell personal information. We may use infrastructure, storage, email, payment, analytics and AI service providers to operate Acorn CCMS. These providers process information only for the service purposes we configure.

Security

Acorn CCMS uses authenticated access, role and permission checks, tenant scoping, TLS, private storage defaults, backups and operational monitoring to protect centre data. Security concerns can be reported to security@acornccms.com.

Retention and deletion

Hosted service data is retained while an organisation uses Acorn CCMS and as needed for backup, audit, legal, billing or support obligations. Account deletion, export, correction or retention requests can be sent to support.
